Kowal_Task is a Magento 2 module for companies that handle project work, bill working time, and want to manage client tasks without leaving Magento. The module combines simple task tracking, time entries, a client panel, CSV export, REST API, and Magento order generation with pending status, based on which the administrator can manually issue an invoice in the standard Magento process.

The solution is designed for software houses, freelancers, e-commerce agencies, technical support teams, and service companies working with Magento 2. If you bill clients by the hour, manage projects, and prepare a working time summary for invoicing at the end of the month, Kowal_Task organizes this process in one place.

Who is Kowal Task for?

How does the module work?

Kowal_Task organizes data in a simple tree structure:

  • client,
  • project,
  • task,
  • time entries assigned to the task.

Each task has a subject, description, status, source of creation, and working time history. A time entry can be added manually or recorded by a timer. The administrator can approve time entries, mark them as non-billable, export data to CSV, or prepare a billing order.

After an order is generated, time entries are locked against regular editing, which reduces the risk of billing data mismatches. After an invoice is manually issued in Magento, the module synchronizes the status of time entries with the invoice.

Client tasks and projects

  • client → project → task structure,
  • projects assigned to native Magento customer accounts,
  • tasks created by the administrator or the client,
  • task statuses: new, approved, in progress, completed, rejected, and archived,
  • task description and a short work history,

Time tracking

Billing in Magento

  • manual invoice issuance from the order in the standard Magento panel,
  • synchronization of time entry status after invoice issuance.

Client panel

The client can work with the module without access to the Magento admin panel. In their account, they can see assigned projects and tasks, submit a new task, add a comment, upload an attachment, and download a CSV with visible data.

Data visibility in the client panel can be controlled from the module configuration, including amounts and time entries that have not yet been included in an order or invoice.

Admin SPA based on KnockoutJS

Daily module handling in the admin panel was designed as a fast SPA screen based on KnockoutJS and native Magento Admin mechanisms. From a single view, the administrator can browse the client tree, add projects, create tasks, log time, approve entries, handle comments, attachments, reports, and order preparation.

REST API for integrations

Kowal_Task provides REST API through Magento's native webapi.xml mechanism. Thanks to this, the module can be operated by:

  • a simple desktop application for macOS or Windows,
  • an external CRM,
  • reporting tools,
  • business automations,
  • integrations with ticket handling systems.

The API uses service contracts and native Magento authorization. You can use integration tokens, administrator tokens, and customer tokens within the scope of their own data.

CSV export and reports

The module keeps a practical billing path through CSV. The administrator can export data based on filters for client, project, date, task status, billing status, and administrative user. The CSV includes, among other things, client data, project, task, work description, minutes, hours, rate, currency, amount, order number, and invoice number.

Why bill through a Magento order?

Kowal_Task does not build a separate invoicing system alongside Magento. Instead, it uses the native sales model:

  • time entries are the data source,
  • the module creates a Magento order with pending status,
  • the administrator reviews the order,
  • the invoice is issued manually in the standard Magento workflow,
  • the module synchronizes time entries with the invoice.

This approach is more stable and easier to maintain because it is based on Magento mechanisms: customers, orders, invoices, service products, ACL, configuration, cron, and REST API.

Example use case

An e-commerce agency supports a client's Magento 2 store. The client submits a task from their customer account: Improve checkout form validation. The administrator approves the task, the developer adds several time entries, and at the end of the month the administrator filters approved entries and generates a pending order.

The order contains a service item calculated based on working time, the hourly rate, and the project currency. The administrator reviews the data and manually issues an invoice in Magento. Time entries receive the invoiced status, and the history remains available at the task, project, and client level.
